Job Description

The Front Office Executive is a pivotal role within the organization, tasked with managing the first impressions for both clients and visitors. This position requires an individual who demonstrates exemplary service skills, ensuring that guests receive a warm welcome and assistance throughout their interactions. The Front Office Executive coordinates administrative tasks, manages meetings and schedules, and provides comprehensive support to the office's operational functions. This role demands multitasking capabilities, attention to detail, and an excellent understanding of the company's operations. As the face of the company, the Front Office Executive must maintain a professional demeanor and ensure a pleasant environment for both employees and clients.


Responsibilities

  • Greet clients and visitors with a welcoming and positive attitude.
  • Manage and direct incoming phone calls to appropriate department personnel.
  • Coordinate scheduling and organizing of internal meetings and appointments.
  • Handle incoming and outgoing correspondence, including mail and packages.
  • Maintain the reception area to ensure a clean and professional atmosphere.
  • Assist in compiling reports and preparing necessary documentation.
  • Respond promptly to customer inquiries, ensuring high customer satisfaction.
  • Support administrative tasks such as filing, typing, copying, and mailing.
  • Collaborate with other departments to enhance overall office efficiency.
  • Maintain security by following procedures and monitoring the logbook.
  • Update and maintain accurate records of office expenses and inventories.
  • Manage visitor access and ensure compliance with office policies.

Requirements

  • High school diploma or equivalent required, college degree preferred.
  • Proven experience in front office management or similar role needed.
  • Excellent communication skills and a strong client-oriented approach.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Ability to work independently and handle multiple tasks simultaneously.
  • Strong organizational skills with a keen attention to detail mandatory.
  • Ability to maintain a calm and professional demeanor under pressure.
