Job Description

The Executive Assistant plays a critical role in providing high-level administrative support to the executive team. This position requires someone who is highly organized, detail-oriented, and capable of managing multiple tasks simultaneously. The executive assistant is responsible for managing schedules, organizing meetings, handling confidential information, and acting as a liaison between the executive and other stakeholders. With a strong ability to anticipate needs and proactively address challenges, the executive assistant ensures the smooth operation of day-to-day activities and contributes to the overall efficiency of the organization. Excellent communication and interpersonal skills are vital, alongside proficiency in various software and tools to perform advanced administrative tasks.


Responsibilities

  • Manage the executive's calendar and coordinate appointments, meetings, and conferences.
  • Oversee and organize travel arrangements, including booking flights and accommodations.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Coordinate and manage incoming communications, including screening and responding to emails.
  • Conduct research and compile data to prepare reports and documents for meetings.
  • Assist in budget management and tracking expenditures for the executive's office.
  • Organize and maintain the executive's files, records, and documentation systems.
  • Facilitate communication between the executive and various stakeholders within the organization.
  • Plan and organize team events, off-sites, and other executive-related activities.
  • Handle confidential and sensitive information with utmost discretion and professionalism.
  • Liaise with internal departments and external partners on behalf of the executive.
  • Provide administrative support to additional executives as needed or directed.

Requirements

  • Bachelor’s degree or equivalent experience in business, management, or a related field.
  • Minimum of 3–5 years of experience in an executive assistant or similar role.
  • Exceptional organizational and time management skills with attention to detail.
  • Strong written and verbal communication skills with professional etiquette.
  • Proficiency in Microsoft Office Suite and other relevant software and tools.
  • Ability to manage multiple projects and prioritize tasks under pressure.
  • Experience handling confidential information and practicing discretion and confidentiality.
