Job Description

The Event Hospitality Coordinator plays a crucial role in ensuring the success of events by managing all aspects of hospitality services required. This role involves organizing and overseeing event logistics, managing vendor relationships, and ensuring that all attendees enjoy an exceptional experience. The coordinator works closely with event planners, catering services, and venue managers to coordinate and execute events seamlessly. The ability to problem-solve on the fly, manage multiple tasks simultaneously, and maintain a positive and professional demeanor are essential. Strong interpersonal communication skills are a must since the coordinator will frequently engage with clients, guests, and various service providers to ensure expectations are met and exceeded.


Responsibilities

  • Coordinate all aspects of event hospitality to ensure client satisfaction and event success.
  • Work closely with event planners to develop comprehensive event itineraries and timelines.
  • Manage vendor relationships to secure favorable terms and ensure quality service delivery.
  • Organize and supervise the setup and breakdown of event venues and hospitality areas.
  • Liaise with catering services to design appealing menus and coordinate food and beverage logistics.
  • Oversee hospitality staff to ensure they provide outstanding service to guests and clients.
  • Address guest inquiries and complaints promptly, ensuring professional handling and resolution.
  • Monitor event operations to ensure they remain within budgetary constraints and adjust plans as necessary.
  • Maintain accurate records of event details, configurations, and hospitality arrangements.
  • Identify potential problems during events and implement timely solutions to mitigate them.
  • Provide post-event feedback and reports to evaluate overall success and areas for improvement.
  • Ensure compliance with health and safety regulations during all phases of event management.

Requirements

  • Bachelor’s degree in Hospitality Management, Event Planning, or a related field.
  • Minimum of two years of experience in event coordination or hospitality management.
  • Exceptional organizational skills with the ability to manage multiple events concurrently.
  • Strong interpersonal and communication skills, both written and verbal.
  • Proven problem-solving skills with a proactive approach to challenges.
  • Proficiency in using event management software and MS Office Suite.
  • Willingness to work flexible hours, including evenings and weekends as required.
