Job Description

As a Document Controller (28O25), you will play a vital role in managing and maintaining the organization’s documentation system. You will ensure the proper storage, retrieval, and management of documents in compliance with company policies and industry standards. Your meticulous attention to detail will support data integrity and facilitate operational efficiency. You will work closely with various departments, supporting them in documentation-related activities and promoting a culture of consistent documentation practices. Responsibilities

  • Develop and maintain an organized filing system for company documents.
  • Ensure all documents are accurately classified and stored properly and securely.
  • Manage the retrieval and distribution of documents to relevant personnel promptly.
  • Regularly review and update documents to ensure current versions are in use.
  • Work closely with teams to ensure document accuracy and completion.
  • Provide training to staff on document control best practices and standards.
  • Monitor compliance with document control processes and report issues.
  • Coordinate with IT department for document management software troubleshooting.
  • Prepare reports on document management statistics and present findings to management.
  • Support audits by providing requested documentation and validating data accuracy.
  • Implement improvements to processes for enhanced document control efficiency.
  • Assist in the development and documentation of new policies and procedures.

Requirements

  • Bachelor’s degree in Business Administration or related field preferred.
  • Minimum of two years experience in document control or similar role.
  • Proficiency with document management software and Microsoft Office Suite.
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent communication skills for effective collaboration with teams.
  • Ability to manage multiple projects and prioritize tasks efficiently.
  • Knowledge of document control regulations and compliance standards.
