Job Description

We are looking for highly motivated and detail oriented Specialist Operations to support the day-to-day operational functions across our Bengaluru site. This role requires strong coordination capabilities, excellent stakeholder management, and the ability to oversee multiple operational workstreams simultaneously.

The ideal candidate brings a proactive mindset, exceptional organizational ability, and strong communication skills. The role demands end-to-end ownership of operational tasks, including transportation, workplace safety, snacks administration, vendor management, governance, and site-specific operational controls.

You will serve as the primary operations SPOC for Bengaluru location, ensuring service continuity, employee experience excellence, and adherence to internal policies and compliance standards. The work timing will be 12:30PM -9PM IST.

Day-to-day Responsibilities

Transportation, Employee Safety & Security Services:

  • Ensure timely and compliant employee transportation, including home pick‑ups and drops as per Bengaluru schedules.
  • Coordinate closely with transport vendors to ensure smooth operations, especially during peak hours and shift transitions.
  • Manage daily tasks in the Transport Management System (TMS), data collation, route allocation, and exception handling.
  • Enforce women’s safety protocols and ensure compliance for all night-shift transportation.
  • Respond to and resolve all ad-hoc transport requests with accurate and prompt action.
  • Maintain, analyze, and share weekly/monthly transport and escort reports.
  • Track and maintain the night-shift women security guard register for compliance and audit readiness.
  • Support periodic on-ground checks relating to transport operations, safety, and routing.

Employee Benefit – Snacks And Refreshments

  • Coordinate with internal SPOCs and vendors on daily snack requirements.
  • Ensure uninterrupted service delivery and daily execution quality.
  • Collect stakeholder feedback and work closely with vendors to enhance snack offerings.
  • Perform periodic audits to ensure hygiene, quality, and compliance standards.

Vendor Management

  • Maintain regular engagement with vendor partners to review service levels and improvement opportunities.
  • Audit and reconcile the invoices received from our vendor partners. Oversee the complete invoice lifecycle - verification, reconciliation, documentation, and payment processing.
  • Support creation, renewal, and tracking of vendor agreements as per company policy.
  • Identify and assess new vendors for operational efficiency and service enhancements as and when required.
  • Maintain updated KYC records for all vendor personnel, including drivers, guards, and vehicle documentation and update them on our internal repository on quarterly basis.

OnePoint Ticketing

  • Monitor and close all assigned OnePoint tickets within SLA.
  • Partner with cross-functional teams to resolve escalations quickly.
  • Drive improvements in ticket trends by identifying recurring issues.

Governance And Compliance

  • Govern end-to-end operational excellence at the Bengaluru site including:
  • Transport Operations; Safety & Security (guards, escort management)
  • Snacks & employee benefit operations; Documentation, SLAs, and compliance adherence
  • Utilization reporting (as applicable)
  • Ensure audit readiness by maintaining proper documentation and process discipline.
  • Support internal audits, compliance checks, and periodic operational reviews.

Operational Excellence & Continuous Improvement

  • Identify inefficiencies in current processes and proactively propose improvements.
  • Take small, continuous improvements in daily work that help make operations faster, smoother, and more efficient.

Stakeholder Management

  • Build strong working relationships with City and Business Unit leaders, HR, Admin, and Security teams. Provide timely updates and communication to stakeholders on operational changes or disruptions.

Risk Management

  • Support risk assessments related to transportation, employee safety, and vendor performance.
  • Implement improvement plans and monitor potential risk indicators.

Technology & Data Proficiency

  • Leverage OnePoint, TMS data and internal tools to derive insights, optimize operations, and improve efficiency. Maintain high data hygiene across all reporting platforms.

Employee Experience Orientation

  • Ensure that employees experience seamless support across all operational touchpoints.
  • Extend support in driving engagement initiatives wherever required.

Ad-hoc Tasks & Cross-functional Support

  • Maintain weekly/monthly operational dashboards and data repositories.
  • Assist with special projects involving process improvement, employee experience, workplace upgrades, and operational transitions.
  • Participate in defining or refining administrative SOPs and best practices.
  • Support ad-hoc procurement and vendor onboarding activities.
  • Act as the on-ground operations point of contact for all employee related queries and requests.

Essential Traits

  • Bachelor’s degree in a related field from an accredited college or university.
  • Prior 6-8 years of experience in administration, transport, facilities, or operations required.
  • Good proficiency in Microsoft Office (Excel, PowerPoint, Word etc.).
  • Exceptional coordination, planning, and vendor management skills.
  • Strong data management, reporting, and documentation skills.
  • Ability to manage confidential information with discretion.
  • Excellent verbal, written, and interpersonal communication abilities.
  • Capability to independently manage operations and projects within defined timelines.
  • Ability to interpret a variety of instructions in written, oral, diagram, or schedule form.
