Position Overview

The Office Services Manager oversees daily operational functions that support a productive workplace environment, managing mail distribution, supply chain coordination, workspace setup, and facility amenities.

Primary Responsibilities

Mail and Distribution Services

  • Manage incoming and outgoing mail processing, courier coordination, and parcel tracking
  • Establish protocols for package receipt, sorting, and delivery to recipients
  • Coordinate with external courier services and postal providers
  • Maintain delivery logs and tracking systems

Document Management

  • Oversee secure document shredding services and compliance with data protection policies
  • Schedule regular shredding pickups and maintain chain-of-custody documentation
  • Ensure proper handling of confidential materials

Supply Chain Management

  • Maintain inventory of office stationery and supplies
  • Process supply requests and manage ordering systems
  • Monitor stock levels and establish reorder points
  • Manage vendor relationships for office supplies

Workspace Setup and Coordination

  • Coordinate desk setup for new employees and relocations
  • Arrange additional furniture as needed, including meeting room chairs
  • Manage office amenity supplies and replenishment schedules
  • Ensure workspace readiness for employee arrival

Facility Signage

  • Coordinate office signage installation and updates
  • Maintain wayfinding systems and directory accuracy
  • Work with facilities teams on signage standards and compliance

Office Deliveries Policy

  • Enforce policy that staff personal packages will not be accepted at office locations
  • Communicate delivery policies clearly to employees
  • Direct personal delivery inquiries to appropriate alternative solutions

Key Qualifications

  • Proven experience in office management or facilities coordination
  • Strong organizational and multitasking abilities
  • Vendor management experience
  • Excellent communication skills
  • Proficiency with inventory management systems
  • Understanding of workplace safety and compliance requirements
