Job Description – Admin Executive

Position Title: Admin Executive

Department: Administration

Experience Required: 1 to 2 Years

Location: Bengaluru

Reporting To: HR Manager

Job Summary

We are looking for a proactive and organized Admin Executive with 1 to 2 years of experience to manage day-to-day administrative operations, coordinate office facilities, support employees, and ensure smooth functioning of workplace activities.

Key Responsibilities

  • Office Administration
  • Manage daily office operations and ensure smooth functioning of the workplace
  • Monitor housekeeping, pantry, stationery, and office supplies
  • Vendor Coordination
  • Coordinate with vendors for maintenance, housekeeping, courier, travel, and other services
  • Track service quality and timely completion of tasks
  • Asset & Inventory Management
  • Maintain records of office assets, furniture, laptops, access cards, and consumables
  • Ensure proper stock availability of admin items
  • Travel & Accommodation
  • Arrange travel bookings, hotel stays, and transport for employees / guests as required
  • Employee Support
  • Assist employees with ID cards, seating arrangements, access cards, and admin requests
  • Coordinate onboarding admin arrangements for new joiners
  • Documentation
  • Maintain agreements, bills, invoices, AMC records, attendance registers, and admin MIS reports
  • Event & Meeting Coordination
  • Support internal meetings, training sessions, celebrations, and company events
  • Compliance & Safety
  • Ensure office safety standards, emergency contacts, and statutory displays are maintained

Required Skills

  • Good communication and coordination skills
  • MS Office / Excel knowledge
  • Vendor handling and negotiation ability
  • Problem-solving approach
  • Good record keeping and documentation skills
  • Ability to multitask and work independently

Educational Qualification

  • Graduate in any discipline
  • Additional admin / operations certification preferred
