The role of a Healthcare Receptionist is pivotal to the smooth operation of medical facilities, serving as a bridge between healthcare providers and patients. As the first point of contact, the receptionist is responsible for creating a welcoming environment, managing appointments, handling inquiries, and ensuring that the patient experience is as pleasant and efficient as possible. Responsibilities

  • Greet patients and visitors professionally and warmly upon arrival at the facility.
  • Schedule and confirm appointments for patients with accuracy and efficiency.
  • Answer telephone calls promptly, addressing inquiries or directing to appropriate personnel.
  • Maintain accurate and up-to-date patient records in the healthcare management system.
  • Coordinate communication between patients and healthcare providers effectively.
  • Collect and process patient charges, insurance, and billing information accurately.
  • Organize and maintain the reception area to ensure it is tidy and welcoming.
  • Assist with administrative tasks such as filing, faxing, and scanning documents as needed.
  • Ensure compliance with all hospital or clinic policies regarding confidentiality and data protection.
  • Provide information about the facility’s services, policies, and healthcare providers.
  • Facilitate smooth patient flow by managing waiting room activity efficiently.
  • Handle patient complaints empathetically, seeking satisfactory resolutions promptly.

Requirements

  • High school diploma or equivalent; additional training in office administration is a plus.
  • Previous experience in a healthcare setting is desirable but not mandatory.
  • Exceptional customer service skills with a patient-centered approach to interactions.
  • Strong verbal and written communication skills to effectively interact with patients and staff.
  • Proficiency in using computer systems, including MS Office and healthcare software programs.
  • Ability to manage multi-line telephone systems and maintain professional phone etiquette.
  • Demonstrated ability to handle confidential information with integrity and discretion.
  • Exemplary organizational and multitasking skills in a fast-paced environment.
  • Flexibility to work various shifts, including weekends, if required by the facility.
