Job Description

The Receptionist cum Admin plays a vital role in ensuring the smooth running of day-to-day operations within the organization. This dual-tasked position requires an individual who excels in customer service, organization, and multitasking. This job involves receiving guests, answering queries, handling various administrative tasks, and ensuring the office is running efficiently. You will be the first point of contact for the company and will play an important role in maintaining the office’s reputation and workflow. The ideal candidate will be approachable, detail-oriented, and proactive, with a keen ability to manage multiple priorities concurrently in a vibrant and dynamic environment.


Responsibilities

  • Greet visitors warmly, make them comfortable, and notify appropriate staff of their arrival.
  • Answer and direct phone calls, taking messages and fielding queries appropriately.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Schedule and coordinate appointments, meetings, and travel arrangements for managers and supervisors.
  • Prepare and distribute memos, reports, and other documentation as required by various departments.
  • Assist in planning and executing office events and meetings, including preparing necessary materials.
  • Monitor and maintain office supplies inventory and place orders as needed to ensure efficient operations.
  • Monitor and update internal databases and ensure that all records are accurate and up-to-date.
  • Handle incoming and outgoing mail, deliveries, and couriers efficiently and promptly.
  • Support HR functions by coordinating interviews and assisting with onboarding processes for new employees.
  • Maintain a clean and organized reception area and ensure professional appearance is upheld at all times.
  • Provide general support to visitors, ensuring that queries or issues are addressed effectively.

Requirements

  • High school diploma or equivalent; additional qualifications in office management are preferred.
  • Proven work experience in a front office dealing with administrative responsibilities.
  • Strong telephone etiquette skills along with excellent communication abilities.
  • Well-versed with office management procedures and basic accounting principles.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Outstanding organizational and time management skills with an ability to multitask.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
