Job Description

We are seeking an organized and proactive Personal Assistant to join our team. The ideal candidate will support our executives by handling diverse responsibilities, including managing schedules, coordinating meetings, and various administrative tasks that contribute to the efficient functioning of the office. This role requires someone who is highly detail-oriented, possesses excellent communication skills, and has the ability to work independently as well as part of a team. Responsibilities

  • Manage and organize the daily schedules and appointments of executives efficiently.
  • Coordinate meetings, conferences, and travel arrangements as needed for executives.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Conduct research and compile data for reports and presentations when necessary.
  • Facilitate communication between the executive team and internal/external stakeholders.
  • Prepare, review, and edit documents and correspondence accurately and timely.
  • Assist in organizing company events, meetings, and employee engagements.
  • Manage incoming and outgoing communications, including emails and phone calls.
  • Maintain and update files, records, and databases with precision and accuracy.
  • Support ad hoc projects and provide administrative assistance where required.
  • Monitor and manage office supplies inventory, placing orders as necessary.
  • Develop and implement efficient and organized office systems and procedures.

Requirements

  • A minimum of 2 years of experience as a personal assistant or similar role.
  • Exceptional organizational skills with an ability to prioritize duties effectively.
  • Strong verbal and written communication skills for effective interaction.
  • Proficiency in MS Office Suite and other relevant office management software.
  • Ability to work independently and handle multiple projects with attention to detail.
  • High level of discretion and integrity when handling sensitive information.
  • Flexible, adaptable, and capable of working in a fast-paced environment.
