Job Description

An Order Processing Coordinator plays a critical role in managing and overseeing the entire order cycle. This involves the accurate and efficient processing of orders from reception through to completion while ensuring high levels of customer satisfaction. The coordinator must effectively communicate with various departments including sales, inventory, and shipping to ensure the seamless execution of orders. Acting as the main point of contact for customers regarding their orders, the Order Processing Coordinator must be adept at resolving issues promptly. With a keen eye for detail and excellent organizational skills, this role ensures that every order is processed according to company standards and customer expectations, contributing to the overall efficiency and success of the business.


Responsibilities

  • Receive and enter orders into the system accurately and efficiently.
  • Coordinate with the inventory team to maintain stock levels for timely order fulfillment.
  • Act as the primary liaison between sales, clients, and delivery teams.
  • Monitor order status and update customers on the progress of their orders.
  • Identify and resolve order-related issues to maintain customer satisfaction.
  • Ensure compliance with company policies during the order processing cycle.
  • Communicate effectively with suppliers to track shipment details and confirm deliveries.
  • Maintain detailed and accurate records of all orders and transactions.
  • Analyze order data to identify trends and suggest improvements to processes.
  • Prepare and distribute regular reports on order status and key performance indicators.
  • Support the team in ad-hoc projects and tasks as necessary.
  • Train and mentor junior staff in order processing procedures as required.

Requirements

  • Bachelor’s degree in Business Administration, Logistics, or a related field.
  • Proven experience in order processing or a similar role within a business setting.
  • Excellent written and verbal communication skills are essential.
  • Strong organizational skills with an ability to manage multiple priorities.
  • Proficiency in Microsoft Office applications, especially Excel and Word.
  • Familiarity with inventory management and order processing software systems.
  • Ability to work effectively in a fast-paced, high-pressure environment.
