Job Description

The Front Office Assistant plays a vital role in the effective operation of a company's front desk. Acting as the first point of contact, the Assistant is tasked with creating an excellent first impression for visitors, clients, and employees. Responsibilities

  • Greet and welcome guests and clients as they arrive at the office.

  • Handle incoming phone calls and direct them to the appropriate personnel.
  • Assist with scheduling and managing appointments and meetings efficiently.
  • Sort and distribute incoming mail and handle outgoing correspondence.
  • Manage office supplies inventory and place orders when necessary.
  • Provide administrative support to other departments as required.
  • Address visitor inquiries and resolve any issues with professionalism.
  • Ensure compliance with security procedures and maintain confidentiality.
  • Update internal databases with accurate and current information regularly.
  • Assist with ad-hoc projects and tasks as directed by management.

Requirements

  • High school diploma or equivalent; additional education is a plus.
  • Proven experience as a front office assistant or relevant position.
  • Strong communication and interpersonal skills are essential for this role.
  • Proficiency in using office equipment and software, including MS Office.
  • Ability to multitask and remain calm under pressure in busy settings.
  • Excellent organizational skills and a high level of attention to detail.
  • Ability to work independently and as part of a team effectively.
