Responsibilities

  • Greet and welcome visitors, clients, and employees with a friendly attitude.
  • Answer, screen, and forward incoming phone calls professionally and efficiently.
  • Manage office supplies inventory by monitoring stock and ordering new supplies.
  • Ensure the front office area is tidy, organized, and presentable at all times.
  • Handle incoming and outgoing mail, packages, and deliveries promptly.
  • Assist with scheduling and organizing meetings and appointments as needed.
  • Provide basic and accurate information in person and via phone/email.
  • Maintain security by following procedures and controlling access via reception.
  • Support administrative tasks such as data entry, filing, and document preparation.
  • Coordinate with internal departments to ensure the delivery of items and messages.
  • Assist in the preparation and updating of office records and reports.
  • Gather, scan, and file documents as part of the organization's electronic records system.

Requirements

  • High school diploma or equivalent qualification is required.
  • Previous experience as a receptionist or in a related role is favorable.
  • Proficient in Microsoft Office Suite and office communications tools.
  • Strong verbal and written communication skills are essential.
  • Outstanding customer service skills with a focus on hospitality.
  • Excellent organizational and multitasking abilities necessary for this role.
  • Professional demeanor and appearance suitable for a front office environment.
