Job Description

The Front Desk Receptionist is a pivotal role in our organization, serving as the first point of contact for clients, visitors, and staff. This position involves managing the reception area, handling phone calls, and ensuring that all inquiries are addressed efficiently and professionally. As the face of the company, the Front Desk Receptionist must possess excellent communication skills, a friendly demeanor, and the ability to multitask in a fast-paced environment. The role requires strong organizational skills and a proactive approach to managing daily activities and resolving issues. This position offers an opportunity to work in a dynamic setting, providing support to various departments while maintaining a welcoming and professional front office environment.


Responsibilities

  • Greet clients and visitors with a positive and helpful attitude.
  • Assist clients and visitors with appropriate directions and information.
  • Handle all incoming phone calls and route them as necessary.
  • Maintain a neat and organised reception area at all times.
  • Coordinate with various departments for efficient administrative support.
  • Schedule appointments and manage calendars for executive staff.
  • Process and distribute mail and courier deliveries timely and accurately.
  • Manage inventory and order office supplies as needed.
  • Assist in data entry and filing of important documents and reports.
  • Ensure compliance with security procedures at the reception area.
  • Help with administrative projects handed over by the management team.
  • Provide basic information to clients and visitors about the company.

Requirements

  • High school diploma or equivalent required; a college degree is a plus.
  • Proven experience in a receptionist or customer service role is preferred.
  • Strong verbal and written communication skills essential for the role.
  • Excellent organizational skills and ability to multitask effectively.
  • Proficient in Microsoft Office Suite and office equipment handling.
  • Friendly, helpful, and professional demeanor at all times.
  • Ability to handle confidential and sensitive information professionally.
