Job Description

As a Front Desk Receptionist, you will be the welcoming face of our organization, responsible for creating a positive first impression for visitors and clients. Being at the forefront, you will manage the reception area, handle incoming calls, coordinate office activities, and manage administrative tasks. Your excellent communication skills and professional demeanor will enhance the experiences of guests, employees, and stakeholders. You will work closely with various departments to ensure smooth operations and coordinate their needs. In this vital role, you will also contribute to the efficient operation of the organization by supporting administrative tasks and providing exceptional customer service to all who walk through our doors.


Responsibilities

  • Greet visitors warmly and answer any questions they may have.
  • Manage multi-line phone systems and direct calls appropriately.
  • Ensure the reception area is tidy and presentable at all times.
  • Coordinate schedules and appointments for office staff and clients.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Maintain office security by following safety procedures and protocols.
  • Provide administrative support to various departments as required.
  • Assist in preparing meeting rooms and arranging necessary supplies.
  • Keep logs and records of office activities, including visitor logs.
  • Ensure effective communication and collaboration with other team members.
  • Handle basic inquiries and refer complex issues to appropriate personnel.
  • Manage inventory of office supplies and reordering when necessary.

Requirements

  • High school diploma or equivalent; additional certifications are a plus.
  • Proven experience as a receptionist or in a similar role is preferred.
  • Excellent verbal and written communication skills are essential.
  • Proficient in using office equipment such as printers and fax machines.
  • Strong organizational and multitasking abilities are crucial for this role.
  • Professional demeanor and appearance to maintain company standards.
  • Ability to handle stressful situations while maintaining a calm demeanor.
  • Familiarity with office management systems and basic accounting procedures.
  • Competency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Friendly personality with a genuine interest in helping people.
