Job Description

We are looking for a professional and friendly Front Desk Receptionist to join our team. The Front Desk Receptionist will be the first point of contact for our company, responsible for offering administrative support across the organization. This role requires exceptional communication skills and the ability to manage multiple tasks simultaneously while maintaining a positive attitude. The ideal candidate is a detail-oriented individual who is organized, efficient, and capable of working independently or as part of a team. With a focus on customer service, the Front Desk Receptionist will ensure that guests and clients are greeted with warmth and professionalism, calls are answered promptly, and inquiries are addressed accurately.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office with professionalism.
  • Direct visitors to the appropriate person and office for further assistance.
  • Answer, screen, and forward incoming phone calls to relevant departments.
  • Provide basic and accurate information in person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries to the correct recipients.
  • Maintain office security by following safety procedures and controlling access.
  • Update calendars and schedule meetings for the management as needed.
  • Assist with various administrative tasks including copying, faxing, and filing.
  • Keep the reception area tidy and presentable, with all necessary materials stocked.
  • Coordinate with staff members to ensure smooth execution of company events.
  • Manage inquiries and complaints, escalating issues to management when necessary.
  • Monitor visitor logbook and maintain records of office expenses for audit purposes.

Requirements

  • Proven work experience as a Receptionist or similar customer service role.
  • Proficiency in Microsoft Office Suite and basic computer operating systems.
  • Hands-on experience with office equipment like fax machines and printers.
  • Professional attitude and appearance are essential for the role.
  • Excellent written and verbal communication skills are required.
  • Strong organizational skills, with the ability to prioritize and multitask efficiently.
  • Customer service orientation and a proactive approach to problem-solving.
