As the Front Desk Receptionist at our esteemed organization, you will be the first point of contact for our clients and visitors, serving as the ambassador of first impressions. Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Ensure visitors are signed in and directed to the appropriate person or department.
  • Answer, screen, and forward incoming phone calls maintaining professional etiquette.
  • Handle daily mail distribution, including sorting, receiving, and sending packages.
  • Maintain security by following procedures and controlling access via the reception desk.
  • Assist with scheduling appointments ensuring efficient use of company resources.
  • Keep the front desk tidy, stocked with necessary supplies, and functional.
  • Perform basic bookkeeping and clerical duties as required by management.
  • Provide assistance to clients seeking information or help with company services.
  • Coordinate with different departments for administrative support and information flow.
  • Prepare correspondence and documents as instructed by the administrative team.
  • Handle inquiries and transfer inquiries to the appropriate channels without delay.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite with focus on Word and Excel.
  • Strong communication and people skills to manage diverse interactions.
  • Ability to be resourceful and proactive in troubleshooting issues promptly.
  • Excellent organizational skills and attention to detail required for multitasking.
  • Customer service attitude with a professional appearance always maintained.
  • High school diploma; additional certification in office management is a plus.
