Job Description

The Front Desk Executive serves as the first point of contact for guests and visitors, playing a pivotal role in creating an excellent first impression. A polished and friendly demeanor, coupled with outstanding customer service skills, are essential for this position. The role involves managing the reception area, handling inquiries, and providing administrative support to ensure the smooth operation of office activities. The Front Desk Executive needs to be highly organized, possess excellent communication skills, and demonstrate a high degree of professionalism in all interactions. This position also requires a proactive approach to managing multiple tasks and resolving issues promptly.


Responsibilities

  • Greet and welcome visitors warmly upon arrival at the office.
  • Answer, screen, and forward incoming phone calls professionally and efficiently.
  • Maintain the reception area, ensuring it is clean and welcoming.
  • Manage and organize appointment calendars for management and meeting rooms.
  • Receive and distribute daily mail and deliveries to appropriate departments.
  • Provide basic and accurate information in-person, via phone, and email.
  • Coordinate front-desk activities, including managing bookings and scheduling rooms.
  • Monitor and update communication logs and leave messages for staff members.
  • Order and replenish front office supplies as needed to ensure seamless operations.
  • Assist in the planning and execution of company events and meetings.
  • Ensure compliance with security procedures while monitoring visitor access.
  • Perform other clerical tasks such as filing, photocopying, and faxing.

Requirements

  • High school diploma or equivalent; further education is a plus.
  • Proven work experience as a Front Desk Executive or similar role.
  • Solid understanding of office management and administrative procedures.
  • Proficient with Microsoft Office Suite and office management software.
  • Strong organizational and time-management skills, with attention to detail.
  • Excellent verbal and written communication skills needed for the role.
  • Ability to multitask and prioritize tasks effectively under pressure.
