The Front Desk Executive plays a crucial role in creating a welcoming and efficient environment for clients, visitors, and staff. Responsibilities

  • Welcome and assist visitors with a professional and friendly demeanor.
  • Manage all front desk activities including phone calls, emails, and appointments.
  • Ensure the reception area is tidy and maintains a welcoming atmosphere.
  • Coordinate daily office activities and provide administrative assistance as needed.
  • Manage incoming and outgoing mail, packages, and deliveries efficiently.
  • Answer inquiries from the public and direct clients to appropriate contacts.
  • Maintain security by following procedures and controlling access via the reception desk.
  • Keep updated records of office expenses and costs related to front desk operations.
  • Assist in planning and organizing company events and meetings when necessary.
  • Handle reservations for conference rooms and communicate scheduling updates accurately.
  • Assist with clerical duties such as filing, photocopying, and scanning documents.
  • Provide exceptional customer service ensuring all clients' needs are met efficiently.

Requirements

  • High school diploma or equivalent; additional qualifications are a plus.
  • Proven experience as a front desk representative or relevant administrative role.
  • Proficiency in using office management software like MS Office suite.
  • Strong verbal and written communication skills are essential.
  • Excellent organizational skills and the ability to multitask effectively.
  • Professional appearance and attitude with a strong service orientation.
  • Ability to work independently and as part of a team with minimum supervision.
