Job Description

We are seeking a highly organized and detail-oriented Administrative Assistant for our team, designated as position 16D25. This role is pivotal in ensuring the efficient operation of our office. The successful candidate will be responsible for providing support to our managers and employees, assisting in daily office needs, and managing our company’s general administrative activities. The ideal candidate should have excellent communication skills, be adept at multitasking, and demonstrate the ability to prioritize workload effectively. In addition to these key skills, a positive attitude and a willingness to learn will be crucial in this position.


Responsibilities

  • Provide administrative support to ensure efficient office operations daily.
  • Assist in the preparation of regularly scheduled reports and presentations.
  • Develop and maintain a filing system for essential company documents.
  • Coordinate meetings and take detailed minutes during office gatherings.
  • Handle general office tasks such as answering phones and greeting visitors.
  • Update and maintain office policies and procedures as necessary.
  • Manage office supply inventory and place orders when required.
  • Coordinate travel arrangements and accommodations for staff as needed.
  • Assist with event planning and execution, from conception to completion.
  • Support and facilitate the completion of regular reports and monthly metrics.
  • Display excellent customer service when interacting with clients and colleagues.
  • Problem-solve to streamline office processes and enhance productivity.

Requirements

  • Proven experience as an Administrative Assistant or relevant role.
  • Excellent written and verbal communication skills are required.
  • Proficiency in Microsoft Office Suite, including Word and Excel.
  • Strong organizational skills with the ability to multitask effectively.
  • High School diploma or equivalent; additional qualifications are a plus.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Exceptional time-management skills and attention to detail are essential.
