The Admin and Front Office Executive plays a crucial role in ensuring the smooth and efficient operation of our front office and administrative functions. Serving as the face of the company, the executive is responsible for greeting visitors, managing incoming calls, and providing exceptional customer service. This position entails overseeing the administrative tasks that ensure our office environment remains organized and productive. Responsibilities

  • Answer and manage incoming phone calls in a timely and professional manner.
  • Greet and direct visitors ensuring a welcoming and efficient reception area.
  • Coordinate office activities and operations to secure efficiency and compliance.
  • Manage schedules, bookings, and appointments to optimize time management.
  • Assist in the preparation of regularly scheduled reports and documentation.
  • Maintain and update office records and databases with accurate information.
  • Ensure cleanliness and orderliness of the front desk and office area.
  • Handle requests, queries, and concerns professionally and effectively.
  • Coordinate meetings and prepare agenda items as necessary for discussions.
  • Support event planning activities including logistics, preparation, and coordination.
  • Manage and replenish office supplies, ensuring availability when needed.
  • Provide support to other administrative staff and assist in various office projects.

Requirements

  • Proven work experience as an Admin and Front Office Executive or similar role.
  • Strong organizational skills with the ability to multitask efficiently.
  • Excellent verbal and written communication skills are essential.
  • Proficiency in MS Office (MS Word, Excel, and Outlook, in particular).
  • Exemplary customer service skills with a professional and friendly demeanor.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • High school diploma required; additional qualifications in Office Administration preferred.
