Job Description

The role of an Admin and Front Office Executive is critical in ensuring smooth operations within an organization. This position requires a dynamic individual with excellent organizational and multitasking skills. The executive is often the first point of contact for clients or visitors, needing a professional demeanor and excellent communication abilities. The job involves managing office operations, maintaining administrative records, and providing support for various departments. The Admin and Front Office Executive will also be responsible for managing office supplies, correspondence, and handling customer queries efficiently. This role demands a high level of discretion and independence, making it a cornerstone for effective business management.


Responsibilities

  • Greet visitors and direct them to the appropriate person or department.
  • Manage incoming and outgoing mail, emails, and other correspondence efficiently.
  • Maintain and update company databases with accurate information.
  • Coordinate and schedule meetings, appointments, and conference calls.
  • Ensure the front office area is organized, welcoming, and presentable at all times.
  • Order office supplies and manage the corresponding inventory regularly.
  • Provide administrative support to management and other staff as needed.
  • Assist in planning and organizing company events and team activities.
  • Handle customer inquiries, complaints, and service requests efficiently.
  • Monitor and maintain office equipment and coordinate service repairs when necessary.
  • Compile and prepare reports, presentations, and spreadsheets as needed.
  • Implement and adhere to company policies and best practices at all times.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Proven experience in an administrative or front office role, at least 2 years.
  • Excellent written and verbal communication skills are essential.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking abilities with attention to detail.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Customer service orientation and ability to manage multiple priorities simultaneously.
