Job Description

We are seeking a professional and personable Receptionist to join our team and be the first point of contact for our clients and visitors. This frontline role requires an individual who is courteous, organized, and possesses a friendly demeanor to welcome customers and guests warmly. The successful candidate will manage our front desk on a daily basis and perform a variety of administrative and clerical tasks. As a pivotal point of contact for our office, you will ensure that all interactions are handled efficiently and effectively, leaving a positive impression on our visitors. Responsibilities

  • Greet and direct visitors and clients in a friendly and professional manner.
  • Answer and manage incoming phone calls with a high degree of accuracy and professionalism.
  • Handle inquiries and disseminate information to the relevant departments or personnel.
  • Maintain a tidy and presentable reception area at all times.
  • Coordinate and schedule appointments and meetings efficiently and accurately.
  • Receive and distribute daily mail and deliveries in a timely manner.
  • Assist with administrative tasks such as data entry, filing, and document handling.
  • Ensure the confidentiality and security of sensitive information and materials.
  • Prepare and manage outgoing mail and deliveries, ensuring accurate addresses and deadlines.
  • Provide support during office events and meetings, handling logistics and hospitality.
  • Assist with inventory management of office supplies and place orders when necessary.
  • Offer additional support to other administrative team members as required.

Requirements

  • High school diploma or equivalent qualification is required for consideration.
  • Previous experience as a receptionist or in a related administrative role preferred.
  • Excellent communication and interpersonal skills are essential for this role.
  • Proficiency in using Microsoft Office Suite and office management software.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Professional appearance and attitude, with a customer service-oriented mindset.
  • Ability to handle pressure and fast-paced environments with poise and efficiency.
