Job Description

A receptionist plays a critical role as the face and voice of an organization, making them pivotal to maintaining a seamless and welcoming environment for all clients and visitors. As a receptionist, you will be the first point of contact, responsible for managing the front desk and greeting everyone who enters the office. Your role is not only limited to welcoming visitors but also involves handling phone calls, responding to inquiries, and performing administrative duties that support the smooth operation of the business. A successful candidate will be organized, efficient, and have excellent communication skills, able to manage multiple tasks with professionalism and grace. This position requires a proactive individual who can anticipate the needs of clients and staff alike, ensuring that operations at the front desk run effortlessly and contribute to a positive company image.


Responsibilities

  • Warmly welcome visitors and clients upon their arrival at the office.
  • Answer, screen, and forward incoming phone calls professionally and efficiently.
  • Provide accurate information in-person and via phone/email communications.
  • Maintain office security by following safety procedures and controlling access.
  • Update and manage appointment calendars while scheduling meetings as needed.
  • Keep the reception area tidy and presentable with necessary stationery and materials.
  • Receive, sort, and distribute daily mail and deliveries to appropriate departments.
  • Assist with administrative tasks such as filing, photocopying, and faxing documents.
  • Coordinate with facility management regarding any front office maintenance issues.
  • Provide general support to clients and visitors within the front office environment.
  • Conduct check-ins for guests and visitors, issuing visitor badges if necessary.
  • Stay informed of organizational changes and communicate updates to visitors efficiently.

Requirements

  • Prior experience as a receptionist or in a related customer service role.
  • Proficiency in Microsoft Office Suite, particularly Word and Excel applications.
  • Strong organizational skills with the ability to prioritize and multitask effectively.
  • Exceptional verbal and written communication abilities are essential.
  • Professional appearance and demeanor are required at all times.
  • Ability to work independently as well as part of a dynamic team environment.
  • A high school diploma or equivalent, with additional office management qualifications a bonus.
