Job Description

We are seeking a highly organized and personable Receptionist to join our team and be the welcoming face of our office. As the first point of contact for clients and visitors, the Receptionist plays a crucial role in creating a positive first impression. This role requires excellent communication skills, a keen sense of professional etiquette, and the ability to manage multiple tasks efficiently. The ideal candidate should be detail-oriented and proactive, providing excellent service while supporting the wider administrative functions within the office. Responsibilities

  • Greet and welcome clients and visitors with a friendly demeanor.
  • Answer and direct phone calls in a professional and timely manner.
  • Maintain the reception area to ensure it is neat and organized.
  • Schedule and confirm appointments for meetings and conferences.
  • Coordinate mail distribution, including sorting and handling outgoing mail.
  • Assist in administrative tasks such as data entry and filing documents.
  • Handle inquiries and provide information to clients and visitors.
  • Ensure that the office supplies inventory is well-stocked and replenished.
  • Coordinate with security to monitor visitor access and maintain security protocols.
  • Serve as a point of contact for facilities management as needed.
  • Prepare and manage correspondence as directed by the management team.
  • Assist in planning and coordinating office events and activities.

Requirements

  • High school diploma or equivalent; additional qualifications preferred.
  • At least 1–2 years of experience in a receptionist or similar role.
  • Strong verbal and written communication skills in English.
  • Proficient in Microsoft Office Suite and basic office equipment.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Professional appearance and conduct with a positive, customer-focused attitude.
  • Ability to handle confidential information with discretion and integrity.
