Job Description

The Executive Secretary serves as the organizational backbone in a variety of corporate settings, anchoring administrative tasks with qualities of professionalism and discretion. As a key team member, the Executive Secretary ensures the smooth operation of day-to-day activities by managing schedules, coordinating meetings, and facilitating communication within and outside the organization. This role demands a person who can anticipate the needs of executives, manage complex administrative tasks, and foster an efficient work environment. The ideal candidate will possess comprehensive knowledge in office procedures, excellent written and verbal communication skills, and the ability to juggle multiple tasks simultaneously. They will represent the management and the organization in a professional manner, maintaining a balance of diplomacy and assertiveness in dealing with a variety of stakeholders.


Responsibilities

  • Manage and coordinate executives' schedules, appointments, and travel arrangements effectively.
  • Prepare and edit correspondence, communications, presentations, and other documents as needed.
  • Organize and coordinate meetings, conferences, and events, ensuring everything goes smoothly.
  • Handle confidential information with discretion and maintain the highest level of professionalism.
  • Assist in the preparation of reports, gathering data, and conducting analysis when required.
  • Facilitate communication within the organization by acting as a liaison between executives and staff.
  • Maintain an organized filing system of electronic and paper documents for easy access.
  • Greet and direct visitors, clients, and staff, ensuring a positive first impression.
  • Monitor and maintain office supplies inventory, placing orders when necessary to ensure readiness.
  • Coordinate project-based work and administrative tasks as assigned by management.
  • Provide high-level administrative support to senior executives and management team.
  • Track deadlines and ensure timely completion of projects and tasks assigned.

Requirements

  • Bachelor’s degree in Business Administration or a related field is preferred.
  • Minimum of five years of experience in a high-level executive support role.
  • Excellent organizational and multitasking skills with a strong attention to detail.
  • Proficiency in Microsoft Office Suite and familiarity with office equipment operations.
  • Strong written and verbal communication skills, with a professional demeanor.
  • Ability to work independently, prioritize tasks, and meet tight deadlines consistently.
  • Demonstrated ability to handle sensitive information with utmost confidentiality.
