Job Description

The role of a Document Controller is crucial in ensuring that all project documentation is accurate, up-to-date, and effectively managed throughout the project lifecycle. As a Document Controller, your primary task is to manage and oversee documents for a variety of projects, making sure that all documentations are filed accurately and in compliance with legal and regulatory standards. You will work closely with various departments and teams to support document control and ensure that project completion and submissions are achieved promptly. This position requires an organized individual with keen attention to detail and the ability to manage the efficient flow of documentation across the organization. You will be responsible for maintaining critical records and generating reports that will guide project decisions and actions.


Responsibilities

  • Manage and control the flow of documentation across multiple projects efficiently.
  • Implement document management systems and adhere to project-specific protocols.
  • Ensure all documentation is maintained in accordance with established standards and procedures.
  • Assist project managers and team members in retrieving, submitting, and archiving documents.
  • Monitor document changes, provide updates, and maintain revision tracking effectively.
  • Ensure that document distribution aligns with the needs of different stakeholders.
  • Develop and control document templates and ensure consistent usage company-wide.
  • Conduct document audits periodically to ensure regulatory and standard compliance.
  • Generate and format project reports, manuals, and other deliverables as necessary.
  • Facilitate training sessions on document control processes for staff members.
  • Collaborate with IT to optimize document storage and retrieval systems.
  • Resolve document discrepancies and issues promptly to maintain project timelines.

Requirements

  • Bachelor's degree in Business Administration, Information Management, or related field.
  • Minimum of 3 years of experience in document control in a similar setting.
  • Proficient in using document management software and systems efficiently.
  • Excellent organizational skills with a strong attention to detail and accuracy.
  • Strong communication skills to interact effectively with diverse teams and stakeholders.
  • Ability to handle confidential information with a high level of professionalism.
  • Experience with regulatory compliance and project documentation standards is desirable.
