Job Description

We are seeking a highly organized and personable Front Desk Receptionist to join our dynamic team. As the face and first point of contact for our company, your role is crucial in setting the tone for our clients’ experiences. The ideal candidate will be professional, efficient, and able to manage various tasks simultaneously with a polite and courteous demeanor. You will be responsible for greeting clients and visitors, handling phone calls, and performing various administrative duties to support the day-to-day operations of our office. Your ability to maintain a welcoming environment and deliver exceptional customer service will be key to succeeding in this role.


Responsibilities

  • Greet clients and visitors promptly with a positive and friendly attitude.
  • Manage incoming calls, direct them to the appropriate departments efficiently.
  • Maintain a clean and organized front desk and reception area at all times.
  • Schedule and coordinate appointments, ensuring accurate documentation and follow-ups.
  • Handle and distribute incoming and outgoing mail, packages effectively.
  • Provide general administrative support, including photocopying, filing, and data entry.
  • Assist in maintaining office security by following safety procedures and controlling access.
  • Respond to queries and provide information to clients and visitors courteously.
  • Manage inventory of office supplies and place orders when necessary.
  • Support office management in daily operations with various administrative tasks.
  • Ensure visitor logs and sign-in procedures are updated according to company policy.
  • Assist in the preparation of meeting rooms and arrange refreshments as needed.

Requirements

  • Proven work experience as a Front Desk Receptionist or similar role.
  • Proficient in Microsoft Office Suite and familiar with office equipment.
  • Excellent communication skills, both written and verbal, required.
  • Strong organizational and multitasking abilities under pressure.
  • Customer service attitude with a professional demeanor at all times.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
  • High school diploma or equivalent; additional education is a plus.
