We’re hiring an Operations Assistant that’s highly detail-oriented, fast-paced, and thrives in a structured but high-volume environment. They should be proactive, calm under pressure, and capable of juggling multiple tasks without losing track of any moving parts. This role is perfect for someone who can quickly understand workflows, communicate clearly and directly, and operate independently with minimal handholding once trained. We’re looking for someone who takes ownership, keeps things organized, and has a strong sense of follow-through and professionalism.


Responsibilities:


  • Monitor and organize a shared inbox; assign messages and add internal notes

  • Pull key details from email requests and input them into structured forms and trackers

  • Assist with backend contract closing tasks, confirmations, and document packages

  • Track wires and closing updates in real time and update related systems

  • Review closer notes, checklists, and timelines to ensure accuracy and follow-through

  • Send out schedules and overview sheets (via tools like Timetackle)

  • Flag missing, incorrect, or incomplete information across systems

  • Keep calendars, inboxes, and Airtable records organized and updated

  • Support cleanup tasks (data entry, correcting records, verifying information)


Qualifications:

  • Experience in back-end operations, real estate admin, or high-volume support roles

  • Exceptional attention to detail and accuracy

  • Excellent written communication skills (Must)

  • Can work fast without sacrificing accuracy

  • Comfortable working independently with minimal supervision after training

  • Thrives in dynamic environments with a lot of moving parts

  • Able to take direct feedback and adapt quickly

  • Strong problem-solving skills and a "get-it-done" mindset

  • Proven ability to follow SOPs and escalate issues when needed

  • Google Workspace (Docs, Sheets, Calendar, Gmail)

  • Airtable

  • Excel

  • TimeTackle

  • GetResponse (email marketing)

  • Metricool (social and analytics)



Schedule: Monday - Friday 9 AM - 6 PM EST


Rate: $5.85/hour
