Job Description

We are seeking a personable and professional Receptionist to join our team and be the first point of contact for our esteemed guests and clients. As a Receptionist, you will play a vital role in creating an excellent first impression and ensuring the smooth operation of our front office. The ideal candidate will possess exceptional communication skills, a proactive approach to problem-solving, and a friendly demeanor. You will be responsible for managing incoming calls, coordinating front-desk activities, and offering administrative support across the organization. Responsibilities

  • Greet and welcome guests and clients as they arrive at the office.
  • Answer, screen, and forward incoming phone calls professionally and efficiently.
  • Schedule and confirm appointments and meetings for staff and clients.
  • Handle inquiries, provide information, and address complaints promptly and politely.
  • Coordinate mail flow in and out of the office, including deliveries and couriers.
  • Maintain security by following procedures and controlling access to the building.
  • Manage and maintain office supplies inventory, placing orders when needed.
  • Perform basic bookkeeping and filing duties as required by the management.
  • Keep the reception area tidy, organized, and presentable at all times.
  • Provide administrative support and clerical assistance to various departments.
  • Assist with organizing company events, meetings, and bookings as necessary.
  • Prepare and edit documents, correspondence, and reports for management staff.

Requirements

  • High school diploma or equivalent; additional qualification as a receptionist is a plus.
  • Proven work experience as a receptionist, front office representative, or similar role.
  • Proficiency in Microsoft Office Suite and various office equipment is essential.
  • Strong organizational and multitasking skills are required to handle multiple tasks effectively.
  • Excellent verbal and written communication skills with a positive attitude.
  • Ability to prioritize tasks, manage time efficiently, and remain calm under pressure.
  • Professional appearance and approach to dealing with guests and managing the front desk.
